Staff Report

What it does

The Staff report (Reports → Staff) covers who worked, how long, and how they performed — clock-in/out records, hours worked including overtime, each cashier's sales, and a monthly payroll calculation. See Reports Overview for the shared date range, Apply, and PDF export controls.

Tabs and parameters

  • Shifts — every clock-in/clock-out record in the range, with late/early/short flags. Parameters: date range + a staff-member picker (scope to one person or everyone) + stat-card filters (see below).
  • Hours Worked — total worked, net, and overtime hours per person. Parameters: date range.
  • Cashier Performance — revenue, order count, and discounts per cashier, to compare tills. Parameters: date range.
  • Payroll — gross and net pay for a chosen calendar month, calculated from hours worked. Parameters: a month/year picker (not a date range) — this tab works differently from the others (see below).

The Shifts tab in detail

If your venue uses shift scheduling, actual clock-in/out times that don't match the plan are flagged in red so late arrivals, early departures, and short shifts stand out. Above the table are clickable stat cards that filter the list:

  • Still Open — shifts not yet clocked out.
  • Not Closed — shifts that were auto-closed rather than clocked out properly.
  • Late In — clocked in after the planned start.
  • Early Out — clocked out before the planned end.
  • Not Full — worked fewer hours than were scheduled that day.

Tap a card to narrow the table to just those shifts; use the staff-member picker to narrow to one person. Both filters work together.

The Payroll tab in detail

Payroll is structurally different from the other tabs: instead of a date range it uses a month/year picker and its own Apply button, and it calculates each person's gross and net pay for that whole calendar month from their recorded hours. Payroll has no PDF export — the other three tabs do.

Key things to know

  • The late/early/short flags on Shifts only appear when shift planning is in use — they compare each clocked shift against the planned one for that day.
  • The staff-member picker and the stat cards filter the already-loaded data instantly, without another Apply.
  • Payroll is calculated per calendar month, so it doesn't share the date-range filter and can't be included in a PDF export.
  • PDF export (on Shifts, Hours Worked, and Cashier Performance) lets you include any combination of those three sections.

FAQ

Q: Can I see numbers for just one staff member instead of everyone?
A: Yes — on the Shifts tab, pick a specific person from the staff picker to narrow both the stat cards and the detail table to just them.

Q: What does "Not Full" mean in the shift stats?
A: It flags a shift where the person worked fewer hours than were actually scheduled for them that day — useful for spotting shifts that ended early or started late enough to fall short overall.

Q: Why is there no PDF button on the Payroll tab?
A: Payroll works differently from the other reports — it's calculated for one calendar month at a time rather than a date range, and doesn't currently support exporting to PDF.

Q: What's the difference between "Hours Worked" and "Payroll"?
A: Hours Worked shows worked/net/overtime hours for the selected date range. Payroll turns a whole calendar month's hours into gross and net pay figures using your pay rates.
